Personal Information Collection Statement & Privacy Policy

Tsz Shan Monastery (“TSM”) collects your personal data for the Kindfulness Symposium. The registration and ticketing platform is operated by Polygon Digital Entertainment Ltd (“the platform operator”), which also sells the tickets in its own name and collects the payment — see the Ticket Terms & Conditions. For this event TSM and the platform operator are each a data user in respect of their own role. In this statement “we” means TSM and the platform operator together. The Ticket Terms & Conditions define it differently: there “we” is the platform operator alone, as the party that sells the ticket and takes the payment. The two documents do not use the word for the same people. This statement explains what we collect, why, who receives it, how long we keep it, and how you can access or correct it. It is written to follow the Hong Kong Personal Data (Privacy) Ordinance (Cap. 486).

1. What we collect

When you register we collect:

  • Name (Chinese and English) and title
  • Email address and contact telephone number
  • Affiliation (optional)
  • Optional background details: your affiliation with TSM, whether you attended Kindfulness Symposium 2024, your industry (which you may write in if you choose “Other”), age band, gender, and how you heard about the event
  • Your ticket type, days, and the afternoon streams you chose
  • Payment is handled by Stripe; we never see or store your card number
  • Entry scan records on the day (time, and place — the Reception Counter or a stream venue)
  • If you ask us to, a separate email address for signing in to Zoom (stored only when it differs from your registration address)

2. How we use it

Your data is used only for:

  • Processing registration, payment and change requests
  • Issuing your e-ticket, itinerary and event reminders
  • Admission and crowd management on site
  • Admitting online attendees to the livestream — your name and email address are added to Zoom's registrant list
  • Issuing your certificate of attendance after the event
  • Where you have separately opted in, news of future TSM events (you may unsubscribe at any time)
  • Aggregate reporting that cannot identify an individual

3. Providing your data is voluntary

You choose whether to provide your data. If you do not provide the fields marked as required we cannot process your registration. Fields that are not marked required — your affiliation and the background details above — may be left blank without affecting your booking, and you may answer some and not others.

4. Transfers and service providers

We do not sell your personal data. To run the event it may be handled by the following service providers, and only for the purposes stated:

  • card payment processing (outside Hong Kong)
  • transactional email delivery (outside Hong Kong)
  • application and database hosting (Hong Kong)
  • livestream platform and admission for online attendees (outside Hong Kong)
  • Disclosure required by law or by a regulator

5. Data leaving Hong Kong

Our payment, email and livestream providers operate outside Hong Kong (see above). Section 33 of the Ordinance, which would restrict transfers of personal data outside Hong Kong, has never been brought into force; we nonetheless limit such transfers to what the service requires.

6. How long we keep it

We keep your personal data only for as long as it is needed to run the event and to meet our legal obligations. When it is no longer needed, it is deleted or anonymised.

Transaction records required for accounting and tax are retained for as long as the law requires.

7. Security

Data is held in a database hosted in Hong Kong and is accessible only to authorised staff. Ticket QR codes are cryptographically signed and cannot be forged. Staff sign in with individual credentials, and every change and admission leaves an audit record.

8. Access and correction

You have the right to ask for a copy of the personal data we hold about you, to have it corrected, and to ask us to erase it. Email reg@tszshan.org with “Data access request” in the subject line. We will respond within 40 days of receiving your request.

If you ask us to erase a completed registration we will keep the transaction amount and order number to meet accounting requirements, and clear all contact details.

9. Cookies and web analytics

This site uses the cookies needed to keep you signed in and to carry your registration between steps. There are no advertising cookies, and your data is not used for advertising.

We may also use a web analytics tool (such as Google Analytics) to understand how the site is used in aggregate — for example how many people view each page. Tools of that kind are provided by a third party and set cookies on your device. What they tell us is used to improve the site, never to identify an individual.
